The Kansas City, Kansas Public Schools (KCKPS) is a nationally recognized urban school district that serves approximately 22,000 students. With a Head Start program, three preschools, 30 elementary schools, 8 middle schools, and 5 college and career academies/high schools, the district serves a wonderfully diverse mixture of students. A remarkable 62 different languages are spoken in the homes of our students. To serve those students, the district employs approximately 3,650 staff, including more than 1,600 teachers.

JOB GOAL:  Assist the Human Resource Advisor in the process of screening and hiring of certified and classified applicants. Manage changes for current employees within the employee information system.  Manage employee personnel files. Process Board actions. Respond to Human Resource related inquiries from employees. Assist Human Resource Advisor as needed.

 

ESSENTIAL FUNCTIONS:

  • Administer new-hire processing for certified / classified applicants.
  • Create and maintain employee files in Human Resources System.
  • Assist with online applications.
  • Make entry level job offers to candidates.
  • Respond to Human Resource related inquiries.
  • Process annual salary adjustments.
  • Maintain employee document files, schedule interviews, refer candidates to hiring supervisors, as directed.
  • Prepare and maintain employment packets and paperwork. Review employment packets with new hires.
  • Maintain Human Resource Advisor’s calendar and appointments.
  • Assist administrators with various questionnaires, surveys and research.
  • Create employee ID badges.
  • Daily filing (applications, transcripts, teaching certificates, etc.)
  • Process and maintain Family and Medical Leave requests.
  • Assist director and principals with certified teacher hiring and/or classified hiring, as needed.
  • Type general correspondence as needed.
  • Update and track employee information in HR computer system(s).
  • Assist with coordinating and attending the new teacher orientation and other employment programs as needed to support overall hiring objectives.
  • Prepare and distribute transfer letters and letters of intent.
  • Prepare and maintain Personnel Information Forms for new hires, transfers, resignations, early separations, and retirements.
  • Prepare documentation for sub office and payroll for all transfers, new hires, resignations, early separations and retirements.
  • Assist with employment verifications by phone.
  • Act as back up for the leave assistants.
  • Cover switchboard and all desk telephone calls as needed.
  • Other duties as assigned by the Human Resource Advisor.

QUALIFICATIONS:

  • Minimum 60 college hours, Bachelor’s degree or higher preferred.
  • Well trained in the use of MS Office 2007 or later, particularly Excel, Word, PowerPoint and ideally Access or similar database to basic level, Internet and email.
  • Ability to manipulate data with the use of formulas in Excel.
  • Ability to create electronic documents for presentation.
  • Knowledge of FMLA desirable.
  • Exhibit excellent public relation skills.
  • Ability to prioritize work schedules and meet work assignment deadlines.
  • Flexibility to adapt to work/time schedule changes when there may be mandatory overtime.
  • Effective communication skills verbal and written.
  • Demonstrated competence in correspondence and respect for confidentiality.
  • Able to maintain complete confidentiality in regards to personnel matters that are not privy to public knowledge.

COMMUNICATION / ORGANIZATION: Maintains communication with school personnel, and parents/guardians, and administration to enhance cooperative action which will meet the development of a viable workforce. Utilizes existing technology effectively in the performance of duties. Performs other related work as required.

 

REASONING ABILITY:  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

LANGUAGE SKILLS:  Ability to read and analyze and interpret general professional journals, technical procedures, or governmental regulations.  Ability to write reports, general curriculum and learning theories, correspondence, and protocols.  Ability to effectively present information and respond to questions from groups of administrators, staff, parents, students, and the general public.

While performing the duties of this job, the employee is regularly required to sit, walk, stand and talk or hear. The employee must occasionally lift and/or move up to 50 pounds.  The employee must occasionally push items of 50 pounds such as pushing on a bike ore wheelchair, or moving/rearranging furniture.  Specific vision abilities required by this job include close vision, distance vision, and depth perception.

 

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.  The noise level in the work environment is usually loud and is a standard acceptable level for this environment. Is directly responsible for students’ safety, work output and well-being.

 

TERMS OF EMPLOYMENT:   261 DAYS

SALARY:           Based on the KCKPS Salary Schedule

FLSA STATUS:  NON-EXEMPT

REPORT TO:     Human Resource Advisor 

EVALUATION:  Performance of this position will be evaluated in accordance with the provisions of the Board’s policy
