TITLE: Budget Manager/Administrative Assistant
LOCATION: Central Office and Training Center

JOB GOAL: Responsible for the budgetary operations and other tasks specific to supporting the programs in Student Services.
ESSENTIAL FUNCTIONS:
- Meet with the Assistant Director of Early Childhood- Parents as Teachers weekly to understand ordering and purchasing needs for the department.
- Manage and order for program operations.
- Coordinate and communicate with program vendors regarding invoices, purchasing matters, and program-related transactions.
- Assist the PAT coordinator in fiscal reporting and grant audits.
- Work with the district’s purchasing department to pay the monthly credit bill and gather required documentation and receipts.
- Demonstrates an ability to effectively utilize Business Plus software and strictly follow the district’s purchasing policies and procedures.
- Manages all social media accounts and digital recruitment efforts for the Parents as Teachers program.
- Completes graphic design projects as needed for program events and recruitment materials.
- Responsible for intake/referrals with families.
- Support the logistics of weekly and monthly program events and meetings.
- Maintain accurate and up-to-date records on program participants, activities, and outcomes, ensuring all data is properly documented and analyzed to support program evaluation and reporting.
- Handle program-related correspondence, including responding to inquiries from parents, staff, and community partners.
QUALIFICATIONS:
- Meets the employment qualifications set forth by the Kansas City, Kansas Board of Education and the Kansas State Department of Education
- High School Graduate or Associates Degree
- Bilingual (preferred)
- Secretarial Experience at the Executive level
- Budgetary Experience (required)
- Computer and Office Equipment
- Confidentiality/Interpersonal Skills
- Highly Organized
- Ability to work in a high paced environment
COMMUNICATION / ORGANIZATION: Maintains communication with school personnel, and parents/guardians to enhance cooperative action which will meet the educational needs of students.
Utilizes existing technology effectively in the performance of duties.
Performs other related work as required.
REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
LANGUAGE SKILLS: Ability to effectively present information and respond to questions from groups of administrators, staff, parents, students, and the general public.

EVALUATION: Performance of this position will be evaluated in accordance with the Board of Education policy on evaluation.
