TITLE: Department Treasurer/Central Office Administrative Assistant

 

LOCATION: Central Office

 

JOB GOAL: Responsible for the daily budgetary tasks specific to supporting the programs in Student Services.

 

ESSENTIAL FUNCTIONS:

  • Meet with the Director of Student Services monthly to provide overview, successes, challenges and recommended changes for budgets that supports the District Continuous Improvement Plan
  • Track budgets and provide monthly and/or quarterly budget reports to the Director of Student Services (Alternative Education, Counselors, Kidzone, McKinney Vento, Migrant, PACT, Student Services, and Truancy)
  • Possess working knowledge of Student Services guidelines, policies and programs
  • Responsible for maintaining daily budgetary tasks
  • Responsible for accounts payable and receivable processing
  • Oversees grants, payroll and budget planning
  • Maintains purchase orders for the office of Student Services
  • Track progress of purchase orders in the financial system and data base
  • Ongoing training and knowledge with the tasks associated with a Budget Manager
  • Possess knowledge of FERPA and KORA
  • Organizes the filings for student appeals and hearings
  • Supports the Director of Student Services with various administrative duties as directed
  • Type a variety of materials including letters, memos, minutes, purchase requests, reports, tracking forms, etc.
  • Prioritize daily, plan work based on need and time deadlines
  • Maintain a detailed, organized filing system
  • Provide Five-Star Customer Service to Parents, Students and Community Members
  • Provide direct support for department and community calls including the second floor entrance of the department
  • Support the Welcome Center
  • Collaborate/coordinate with department staff as a team player
  • Plan and coordinate meetings/events/travel
  • Supports Executive Assistant for the Director of Student Services
  • Other duties as assigned by the Director of Student Services or Assistant Superintendent

 

COMMUNICATION / ORGANIZATION: Maintains communication with school personnel, and parents/guardians to enhance cooperative action which will meet the educational needs of students.

Utilizes existing technology effectively in the performance of duties.

Performs other related work as required.

 

QUALIFICATIONS:

Meets the employment qualifications set forth by the Kansas City, Kansas Board of Education and the Kansas State Department of Education

Associates Degree or Accounting/Budget Management Experience (3-5 years)

Secretarial Experience providing five-star customer service

Computer Software

Proficient in budgetary software

Confidentiality/Interpersonal Skills

Highly Organized

Ability to work in a constant high paced environment

 

REASONING ABILITY:  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

LANGUAGE SKILLS:  Ability to effectively present information and respond to questions from groups of administrators, staff, parents, students, and the general public.

SALARY:              Based on the KCKPS Salary Schedule.

 

FLSA STATUS:     Non-Exempt

 

REPORT TO:        Director of Student Services

 

EVALUATION:    Performance of this position will be evaluated in accordance with the Board of Education policy on evaluation.
